Managing Invoices for a Request

To make it more convenient for your clients to pay their bills, your firm can upload invoices to requests. Clients see the invoices listed on the Billing tile in the client hub. From there, they can download to invoices to view them. If your firm has set up a link to an online payment gateway, clients also can click the Pay link for each invoice to open the gateway and submit their payments.

Clients can manually mark their invoices as paid in the client hub. When they do so, the invoices are removed from the Billing area of the client hub. However, the invoices are still accessible in the client's Document Locker for future reference.

Uploaded invoices are visible to your firm's staff in the Invoice Center and in the Document Locker. Invoices are automatically assigned the Invoice tag in Document Locker.

Note: You must have either Add or Edit functional rights for both the Client Collaboration - Request Dashboard - Client Requests and Client Collaboration - Document Locker permissions to perform the tasks listed below.

  1. If you are not already on a Requests page, click , and then select Requests.
  2. Open the status tab where the request is located by doing either of the following:
    • On the Requests dashboard, click either the status name or status wedge in the Request Status section.
    • From a different status page, select the status from the Request Status filter at the top of the page.
  3. Do one or both of the following as needed to narrow the list of requests to select from:
    • Click above the grid and select a filter set. You can also create a new filter set.
    • Enter all or part of the client name in the search box above the grid.
  4. Click for the request, and then select Open Invoice Center from the menu.
  5. Click Upload.
  6. Navigate to and select the invoice file to upload.
  7. Click Open.
  8. Click the X in the upper right corner of the Invoice Center pane to close it.

The Activity Details window displays information about when an invoice is uploaded, downloaded, and deleted. If a client marks an invoice as paid, that information will also be captured.

  1. If you are not already on a Requests page, click , and then select Requests.
  2. Open the status tab where the request is located by doing either of the following:
    • On the Requests dashboard, click either the status name or status wedge in the Request Status section.
    • From a different status page, select the status from the Request Status filter at the top of the page.
  3. Do one or both of the following as needed to narrow the list of requests to select from:
    • Click above the grid and select a filter set. You can also create a new filter set.
    • Enter all or part of the client name in the search box above the grid.
  4. Click for the request, and then select Open Invoice Center from the menu.
  5. Click next to the invoice you want to view details for.
  6. Click OK to close the Activity Details window.
  7. Click the X in the upper right corner of the Invoice Center pane to close it.

Invoices can be downloaded from either the Invoice Center or from Document Locker. See Uploading and Downloading Files in a Document Locker for information on downloading invoices from that location.

To download an invoice from the Invoice Center, do the following:

  1. If you are not already on a Requests page, click , and then select Requests.
  2. Open the status tab where the request is located by doing either of the following:
    • On the Requests dashboard, click either the status name or status wedge in the Request Status section.
    • From a different status page, select the status from the Request Status filter at the top of the page.
  3. Do one or both of the following as needed to narrow the list of requests to select from:
    • Click above the grid and select a filter set. You can also create a new filter set.
    • Enter all or part of the client name in the search box above the grid.
  4. Click for the request, and then select Open Invoice Center from the menu.
  5. Click Download next to the invoice.

    Note: If the Download link is not visible next to the invoice, the invoice might have been deleted. Click next to the file name to see the activity details.

Invoices that are deleted are still listed in the Invoice Center for a request, but are not available for download. This is necessary so that activity details indicating who deleted the file can be maintained. A deleted invoice is not visible in Document Locker.

To delete an invoice from a request, do the following:

  1. If you are not already on a Requests page, click , and then select Requests.
  2. Open the status tab where the request is located by doing either of the following:
    • On the Requests dashboard, click either the status name or status wedge in the Request Status section.
    • From a different status page, select the status from the Request Status filter at the top of the page.
  3. Do one or both of the following as needed to narrow the list of requests to select from:
    • Click above the grid and select a filter set. You can also create a new filter set.
    • Enter all or part of the client name in the search box above the grid.
  4. Click for the request, and then select Open Invoice Center from the menu.
  5. Click Delete.

    Note: If the Delete link does not appear next to the invoice, the invoice might have been deleted already. Click next to the file name to see the activity details.

  6. Click Yes to confirm the deletion.
