Adding Files

You can add a file to a portal by dragging the file to the Files and Folders section of the Portal home page. You can also upload a file by clicking the Add Files button. In either case, you must click the Upload Files button to complete the upload process.

Users who are set up to receive notifications will receive an email when an upload completes. If you upload multiple files in one session, only one notification is sent for all the uploaded files. The email notification lists all the files that were added, the portal name, and the folder path (if applicable).

Tip: Depending on the global options set by your administrator, Portal might prompt you to select a portal before you upload a file. If it does not, you should verify that you have selected the correct portal before beginning the upload process.

To add files to a portal, do the following:

  1. ClosedSelect the portal you want to upload files to, if it is not already selected.
    1. On the Portal home page, click the Recent Portals tab in the navigation panel. Up to 50 recently accessed portals that you have access to can be displayed here. You can sort the Recent Portals list by clicking to display portals in ascending or descending alphabetical order. Click to sort the list of portals according to when they were most recently accessed.
    2. If the portal you need isn't listed, use the search box on the Recent Portals tab to perform a search either by portal name or by portal administrator's email address. To toggle between these options, click the arrow on the right-side of the text box, and select the type of search to perform.
      • Portal name search. Enter the portal name in the search box. As you type, the system displays a list of portal names that match the entered text. Select the correct portal in the list, and then click the add button  for the portal.
      • Portal administrator's email address search. Enter the email address. Then, click the Search button. The search results display in a list below the text box. Click the add button  for the portal.
    3. Tip: You can control which portals display on the Recent Portals tab by clicking in the Recent Portals text box, and then pressing the space bar. A list of all portals that you can access displays. Select the portals to include in the list by clicking the add button beside each portal.

    4. Once you have located the portal name on the Recent Portals list, click the portal name. The Files and Folders section is updated to reflect the contents of the selected portal.
  2. If you are a portal userClosed A person employed by, or who represents, the client. A portal user with permission to create other portal users is known as a portal administrator. Portal users can be created by portal administrators or firm administrators. and your portal includes a Client AreaClosed An optional portal space that a firm can provide to its client users. The client area is only accessible by portal users; firm users cannot access it. Portal users can use this area to collaborate on files before submitting them for upload to the Collaboration Area. If a Client Area was created for a portal, portal users will see a Client Area tab on the right side of the Portal home page. , select either the Client Area or Collaboration Area tab, depending on which area you want to add the file to. See Understanding the Collaboration and Client Areas for more information.
  3. In the Files and Folders section, select the folder where the files should be uploaded.
  4. Do one of the following to select the files for upload:
    • Select files to upload using the ClosedAdd Files button.
      1. Click Add Files in the Files and Folders section.
      2. Browse to and select the file to be uploaded.
      3. Click Open.
    • Drag the files for upload from your computer to the Files and Folders section of the home page.

    The selected files are added to the Files and Folders area, but have a pending status, as indicated by their lighter color. Files that are pending are not yet available for other users to access. If you exit the portal before completing the upload, pending files are removed from the files and folders area.

  5. Click Upload Files. When the upload process is completed, the ClosedStatus column in the Detail view displays information about the success or failure of the upload.
    • If a file loads successfully, the word "New" displays in the Status column in the Detail view. The file name displays in a bold font to indicate that it is newly added. The file name remains bold until the intended recipient acts on the file.
    • If a file does not load successfully, you can hover the pointer over the error icon  to view an explanation of the error. You can also right-click the file and select to retry the upload or delete the file.

    Note: If Portal detects that a file being uploaded has the same name as a file that already exists in the same location, the system prompts you to resolve the duplication. See Eliminating Duplicate File Names for information about the options available to you.

  6. If needed, click View Details  in the Portal status bar at the bottom of the Portal home page to open the File Upload Progress pane. This pane displays information about all of the uploads attempted during your current Portal session.
  7. To remove information about previous uploads, including failed uploads, click Clear Completed in the File Upload Progress pane.

Once a file is uploaded to Portal, you can drag it to a different folder in the same portal if needed. You can move multiple files at one time. To select items next to each other, press and hold Shift while clicking the first and last items in the list. To select items that are not next to each other, press and hold Ctrl while clicking each item you want to select. Then, drag the files to the new location. If a file is locked or checked out, you cannot move it to a different portal folder.
