About File Management Roles

A file management role is a type of security roleClosed A mechanism used to assign a specified set of rights to users with one assignment. A security role has a set of functional rights granted to it. When a user is assigned a security role, the user receives all the functional rights associated with that role. that is assigned to firm and portal users. The file-related tasks a user can perform in a portal are determined by the file management role assigned to the user for that portal. File management roles can be assigned on a per portal basis, if needed.

By default, Portal provides five predefined file management roles which cannot be edited or deleted. These predefined roles are:

  • Administrator. Can perform all file management tasks in the portal.
  • Standard User. Can perform all file-related tasks in the portal except overwriting files with duplicate names.
  • Limited User. Can perform the following file-related tasks in the portal:
    • Add, view, check in/check out, download, and delete files
    • Cancel own file check outs
    • View the history and properties of files
  • Read-only User. Can download and view files
  • Upload-only User. Can upload files to a portal (available for portal users only)

Portal users can only be assigned these predefined roles. If needed, your firm can create additional file management roles for firm users on the File Management Roles window. To access this window, select Security and Permissions > File Administration roles on the Administration tab in Portal.
