Managing Notifications for Project Worksteps

The Notifications tab in the Workstep window allows you to set a rule to notify a person, team, role, or assignee when a particular workstep is started or completed.

To manage workstep notifications, do the following:

  1. Open Dashboard, click Application Links on the navigation panel, and then click Projects under Workstream.
  2. Open a workstep view that contains the worksteps you want to manage notifications for.
  3. Select one or more worksteps in the grid, and then click in the Edit group on the Home tab or right-click and select Open from the menu.
  4. Select the Notifications tab.
  5. Do any of the following as needed:
    • ClosedAdd a notification.
      1. Click Add Notification on the grid toolbar to add a new row to the notifications grid.
      2. In the newly created row, select options in each of the following columns:
        • Priority. Select a priority for the notification.
        • Select By. Select the type of recipient the notification will be sent to.
        • Recipient. Select a specific recipient for the notification. The options in this list are limited by the type in the Select By list. If no assignee is defined, the notifications will be sent to the default administrator.
      3. Click OK.
    • ClosedEdit a notification.
      1. Click the notification in the grid that you want to edit.
      2. Click Edit in the grid toolbar.
      3. Edit the selections in the following columns as appropriate:
        • Priority. Select a priority for the notification.
        • Select By. Select the type of recipient the notification will be sent to.
        • Recipient. Select a specific recipient for the notification. The options in this list are limited by the type in the Select By list. If no assignee is defined, the notifications will be sent to the default administrator.
      4. Click OK.
    • ClosedDelete a notification.
      1. Click the notification in the grid that you want to edit.
      2. Click Remove on the grid toolbar.
      3. Click Remove again to confirm the deletion.
      4. Click OK.
    • ClosedView the history of notifications.

      If a notification is deleted from a workstep after it has been sent, the notification information is captured in a History grid. To view the notification history, click History button above the grid.

Note: After a notification is sent, the Notified column lists all recipients who received the notification. The Sent column displays the day and time that the notification was sent.
