Posting an Invoice

After you have made the final adjustments to an invoice, and it has been final printed, you can post it. When posting an invoice, the accounting period is set to the invoice date, unless that date is prior to the lock reconciliation date or after the end of the current accounting period. In that case, you will be prompted to enter a date for the invoice.

Note: If the Set the accounting period to current when posting or editing prior period transactions option is selected in Firm settings and defaults > Practice > Other Practice Settings, the current system date is assigned as the accounting period for all invoices dated before the lock reconciliation date.

You can post an invoice when you make billing decisions or when you are editing or previewing the invoice. To do so, click Post in the upper right corner of the window. Use the procedure below to post an invoice from the Invoices, Clients, or Projects list.

To post an invoice using the invoice date as the accounting period, do the following:

  1. Open the Invoices list.

    Note: You can also access invoices from the ClosedClients or Projects list.

    1. Open Dashboard, click Application Links on the navigation panel, and then click Bill WIP under Billing & Invoicing.
    2. Click either the Clients or Projects tab.
    3. Click  next to a client or project to display the invoices for that client or project.
  2. Do one of the following:
    • Post a single invoice. Select Actions > Post next to the invoice you want to post.
    • Post multiple invoices in a batch. Select the check boxes for the invoices you want to post, and then click Batch Actions > Post.
    • Note: Batch invoice actions can only be performed on the Invoices tab.

  3. Click Post.
    • If you selected any invoices that have not been final printed, you will be prompted to final print those invoices. You can select Print & Post to final print and continue with the post, or you can select Print Only so the invoice can be reviewed prior to posting.
    • If you are posting a future or prior period transaction, do one of the following:
      • Enter an accounting period date above the grid to use for all transactions.
      • Enter an accounting period date for each transactions.
      • Clear the check box next to an invoice if you do not want to post it.
