Using the Publish File to Portal Window
The Publish File to Portal window allows you to select the properties for a file you are adding to Portal. The window is accessed when you add a file to Portal from another Wolters Kluwer product. To use the window, do the following:
- In the Select portal and storage folder section, select a portal and storage folder for the file.
Note: If the client does not have a portal, click Create Portal and then complete the information in the
Portal Creation window.
- Enter information in the
Portal Information section.| Portal Name (Client Name) | Enter a valid name for the portal. |
| Portal Administrator's Login ID (Email Address) | Enter a valid email address for the portal administrator. |
| Client ID - Sub ID | Enter the client ID and sub-ID (if used) for linking to clients. Note: A client ID is required when assigning a client sub-ID. |
| Folder Template | Select a folder template from the list. |
| Portal is active (users can log in) | Select to make the portal active or clear the box to make the portal inactive. |
| Automatically expiry files after: | Select the check box to apply an expiration date. Then, select an increment of time from the list, and enter a numerical period of time in the box. |
| Enable Client Area | Select the box to activate a client area. Note: You must have a license for the client area.

| Client Area Size (MB) | If you selected to enable the Client area, enter a size for the client area. |
- On the
Access Groups tab, select the box beside each group of users that should have access to the portal.
 | Select the box to give members of this group access to the portal. Clear the box to remove the access rights for this group. |
| Access Group Name | Displays the name of the access group. |
| Approver | Select this box to give members of this access group the right to approve files for publication to the portal. Clear this box to remove approver privileges for this group. |
| Access Expires On | Click the calendar button to select a date when access to the portal will expire for this group, if needed. |
- On the
Individual Users tab, select the people who should have access to the portal. | Select this box for a user to give that person access to the portal. Clear the box to remove the access rights for this person. |
| User Name | Displays the name of the user. |
| Access Expires On | Click the calendar button to select a date when access to the portal will expire for this person, if needed. |
| File Management Role | Select a file management role for the user. |
| Approver | Select this box to give this person the right to approve files for publication to the portal. Clear this box to remove approver privileges for this person. |
- On the
Client Links tab, select the application to link a client to, if any. See Managing Client Links for more information. Note: This tab does not display for all users.
| Application Name | Displays the name of the application associated with this client record. A different option can be selected from the list if needed. |
| Client Name | Displays the client name as it appears in the client record from the source application. |
| Client Email ID | Displays the client email address as it appears in the client record from the source application. |
| Client ID | Displays the client ID as it appears in the client record from the source application. |
| Client Sub-ID | Displays the client sub-ID as it appears in the client record from the source application, if one was assigned. |
| Client GUID | Displays the client's globally unique identifier (GUID) as it appears in the client record from the source application. |
- Click Save.
- In the Set file properties section, set the file retention period. Enter a number in the text box, and then select days, weeks, months, or years from the list.
- In the Portal edit mode list, select an option to specify if the file should be editable.
- Click Apply to selected to apply the properties to the file.
- Click Publish selected files to send the file to Portal.
- Click Close after the publish completes.
