Managing Client Associates

Client associates are individuals, businesses, or other entities outside the client’s organization who are authorized to provide additional information about the client when required, such as banks or lawyers. An associate can be assigned to one or multiple clients as a business affiliateClosed A business that is associated with a client as an affiliate. A business affiliate is not a member of the organization. For example, a business affiliate could be the client's attorney, banker, or lawyer., referralClosed A business contact that is associated with a client as a referral. A referral is not a member of the organization. For example, an attorney that refers a client to your firm is considered a referral., or both. For example, your firm may have clients that are related and work with the same associates. Associates you create are available for assignment to the open client and other clients.

Client associates should not be mistaken for client contacts. Client contacts are persons in the client’s organization or relation who are responsible to represent the client. See Managing Client Contacts for more information.

To manage client associates, do the following:

  1. Open Dashboard, click Application Links on the navigation panel, and then click Client Manager under Clients.
  2. Do one of the following:
  3. Click Associates under Profile Information on the navigation panel. All saved associates display in the grid.
  4. Select from the following available options:

    Click New on the button bar or right-click the grid and select New from the menu to create an associate. See Adding or Editing Client Associates for more information about saving client associates.

    Note: You can also create an associate by copying an existing associate. See Copy below for more information.

    OpenDo one of the following to display the client associate profile for review or editing purposes:
    • Double-click an associate in the grid.
    • Select an associate in the grid and click Open on the button bar.
    • Right-click an associate in the grid and select Open from the menu.

    CopySelect an associate in the grid and click Copy on the button bar or right-click in the grid and select Copy from the menu to create an associate with the same attributes as the selected associate. You can modify the new associate's information if necessary.
    DeleteSelect an associate in the grid and click Delete to remove the associate from all grid views. Deleted associates will be unassigned from all clients.
    PrintClick Print on the button bar or right-click in the grid and select Print to send the list of client associates' information to any printer installed on your machine for reference or filing purposes.
    ExportClick Export on the button bar or right-click in the grid and select Export from the menu to save the list of client associates' information to an external XLS, XPS, or PDF file.
    Show All AssignedClick to display only the client associates assigned to the client. The associate can be assigned to the client either as a business affiliate or a referral.
    RefreshClick to update the grid with changes saved by other staff.
  5. You can assign client associates as a business affiliateClosed A business that is associated with a client as an affiliate. A business affiliate is not a member of the organization. For example, a business affiliate could be the client's attorney, banker, or lawyer. or as a referralClosed A business contact that is associated with a client as a referral. A referral is not a member of the organization. For example, an attorney that refers a client to your firm is considered a referral. by selecting the corresponding check boxes in the grid.
  6. Note: Enter the client associate name in the search box located above the grid to quickly find a client associate in a large list of associates.

  7. Click one of the ClosedSave buttons or cancel.
