Adding Files to Document

There are several ways to add files to Document. Instructions for the most common methods are included below.

Note: By default, Document does not allow certain file types which could present a security risk from being added to Document. Your firm also might limit which file types can be added for certain entity types. See Managing Disallowed File Types for more information about file types that cannot be added to Document.

Adding Files from Within Document

  1. ClosedLocate and select the entity you are adding the file for on the navigation panel.
    1. Click the entity type on the navigation panel.
    2. Select filters for the office and business unit, if needed.
    3. Begin typing the name of the entity you are looking for in the Name Lookup box. As you type, the system displays possible matches. Click the correct entity when you see it.
    4. If you still do not see the entity you need, click in the List Options section to refresh the list, and then perform the search again. If you still cannot find the entity, verify that the entity has been set up in Dashboard.

    Note: If you plan to upload the file to multiple entities, you still must select an entity here. You can add more entities in the Add Files window.

  2. Clicknext to the entity name to expand the folder structure and select the folder where you want to add the hyperlink.
  3. Do either of the following:
    • Drag the file to the entity's folder in Document. Depending on how your firm has configured the drag-and-drop options, the file is either added automatically and no other steps are required, or the Add Files window opens. If the Add Files window opens, continue with the next step.
    • Click Add Files on the Document button bar. Then, click Browse for Files to locate and select the file to upload.
  4. If you want to upload the file to multiple entities, click Add File to Multiple Entities, and then complete the ClosedAdd to multiple entities window. Otherwise, continue to the next step.
    1. Select to either copy or link to the file for each entity.
    2. Select an entity type.
    3. Click an entity you want to add the file to in the Available entities box.

      Note: If needed, you can enter all or part of the entity name in the text box above the list of entities to filter the list.

      • Clickto the file to the selected entity, or click to add the file to all of the entities.
      • Repeat steps a through e as needed until all entities that you want to upload the file to are listed.
    4. Complete any additional information as needed on the Add files window.
    5. Click Upload Selected Files.

    Tips for More Efficiency When Adding Files

    • We recommend that firms set default metadata for folders. Default metadata reduces the need to manually enter metadata each time you add files.
    • Before adding a file to Document for the first time, configure your Documentuser options. The Drag-and-drop and File upload delete options allow you to specify how Document handles certain tasks when you add files.
