Working with Submitted Scans

The Reports window displays the status of reports for the selected scan. You can open reports for completed scan jobs, and you can delete or resubmit scan jobs.

To access the Reports window, select a scan from the main DataScan page and click Reports in the View group of the Home tab.

Important: Reports are automatically deleted after 15 days.

Viewing Reports

To view a report, click the icon in the Report column of the Reports window. The report opens in Microsoft Excel.

Notes:

  • Reports are saved on the server as encrypted files. When you view a report, DataScan automatically decrypts the information for you.
  • Date columns are now centered in reports.

Deleting Scan Jobs

You can delete any scan job that is not currently in progress. To delete a scan job, select it from the grid and click Delete Report.

Defining the Scope and Resubmitting a Scan

Once you have built a scan with the correct fields and forms, you can then define the scope and submit the scan again.

To define the scope and resubmit a scan, do the following:

  1. Click Define Scope/Resubmit.
  2. Do one of the following:
    • Select Scan all returns to scan all returns you have permission to view.
    • Select Filter the returns to scan to narrow the scope of the scan job.
  3. Leave the Schedule section blank to run the scan job immediately, or select Delay scan until and choose the date and time you want the scan job to run. If you schedule a job, be sure to leave your workstation on during the scheduled date and time.
  4. Select Show the last four digits of SSN in the report to show only the last four digits of the Social Security Number. The first five digits will not display in the report.
  5. Select Include password protected returns if you want the report to include returns that have password protection enabled.
  6. Notes:

    • This option is available only if your administrator has given you the right to scan password protected returns.
    • This option applies only to organizational units for which you have the right to scan password protected returns.
    • This option is not available if you are scanning Client Manager profile information.

  7. Enter a report name. The name will identify the report in the Reports window for this scan.
  8. Note: Reports are saved on the server as encrypted files. When you view a report, DataScan automatically decrypts the information for you.

  9. Click OK.
