Billing & Invoicing Clients

Your firm's billing practices determine which of the features of Practice you will use. Billing allows you to bill for the transactions that staff enter in Time Capture, which helps create a seamless workflow.

Tips:

  • Establish a documented procedure for handling routine billings. As exceptions from the routine occur, document how they are handled. This reduces the complexity of your billing operations and ensures consistency in handling unusual situations.
  • Use the Invoice notes from Time Capture to assist in the on-screen paperless billing process. Use these features to complete the billing and invoicing process, from selecting clients to WIP selection and posting to Accounts Receivable, with minimal printing.

  1. Transactions are captured or entered in Time Capture.
  2. Transactions are marked as ready for review or ready for posting, depending on your firm's settings. See Releasing Time Capture Transactions and Reviewing Time Capture Transactions for more information. If your firm's settings require review before posting:
    1. Entries are reviewed by designated staff.
    2. Entries are marked as ready for posting by designated staff.
  3. Transactions are posted by designated staff.
  4. Select the Clients, Client Billing Groups, or Projects tab. Then, locate a client, a client billing group, or project you want to bill.

    Note: You can use search or filters to help you locate the records you need. To use search, enter a client’s or client billing group's name or ID in the Search and bill box. Click the client name if you see it, or press Enter. See Using the Billing & Invoicing Filters for information about filters.

  5. Click Actions and select one of the following:

    Note: Billing based on fee agreements is not yet available for project billing.

  6. Change the status to final.
  7. Print the invoice. You can print a draft invoice for review before you print the final invoice.
  8. Click Post. For more information, see Posting an Invoice.

Note: You can do any of the following to reverse your billing decisions.

  • Clear billing decisions.
  • Undo final print of an invoice so it can be edited.
  • Delete an invoice that has not been posted. This sets the WIP back to an unbilled status.
  • Reverse an invoice, which deletes the charge in AR, sets the invoice record to reversed status, and sets the WIP back to an unbilled status.
