Working With Unrecognized Email Addresses

If you send emails to an email address that Document does not find in the CCH Axcess database, the system gives you an opportunity to associate the email address with an entity. You can select one of the following options:

  • Skip this email message. Cancels the upload of the current email item and prevents it from being stored in Document.
  • Allow me to manually select an entity. Opens the Add files window, where you can manually select an entity from the list.

    Note: Selecting this option does not permanently associate the email address with the selected entity. If you later upload an email for this same email address, you again will have to select an entity to associate the email address with.

  • Associate this email address with an existing client. Allows you to permanently associate a client with the email address. The email address is stored as part of the client profile. To use this option, begin to enter a client name or ID. As you type, the auto-suggest feature displays possible matches. Select the correct one when you see it. When you click Continue, the client will be pre-selected for the file.
  • Detect a client for this message. Allows you to create and then associate a client with the email address. Click Create a new client based on this email address, and then create the client. Then, select Detect a client for this message to have the system find the new client.

    Note: The detect feature can also be used to find clients and email addresses that have been added to the system by other users.

If you selected multiple emails for upload to Document, by default, the option you select is applied only to the first email. If you select the Do this for next X email messages check box, the same option will be applied to the other selected emails.

After selecting an option, click Continue. If needed, complete the Add files window.
