Using the Client Access Group Profile window, you can define the clients that should be secured in the client access group, regardless of their client attributes. You can also define criteria for secured clients in the group to dynamically change when client attributes are modified in the client profile.
To add clients to a client access group or determine secured clients for a group, do the following:
Open Dashboard, click Application Links on the navigation panel, and then click Access groups under Security.
Click Client Access Groups on the navigation panel.
Click New > Client Access Group on the Home tab of the ribbon, or right-click the grid and select New > Client Access Group from the menu to create a client access group.
Select an item in the grid and click Open in the Edit group on the Home tab, or right-click an item in the grid and select an option from the Open menu.
Click the link to display the organizational units, such as regions, offices, or business units, set up for your firm.
Select the organizational unit attributes on the Select Attribute Values window. See Selecting Attribute Values for more information.
Click OK. Clients whose region, office, or business unit matches one of the selected organizational units are secured in the client access group, if the client is not specifically excluded.
Responsible staff assignment
Select the responsible staff title if you want clients to be secured in the group based on staff assigned to the client.
Select staff for the position
Click the link to display the staff who are assigned to the selected responsible staff position.
Select the staff that are set up for the selected responsible staff position.
Click OK.Clients whose responsible staff matches one of the selected staff are secured in the client access group, if the client is not specifically excluded.
Note: You must also select the organizational units of the clients where staff is assigned.
Select to include or exclude specific clients, if needed. You can assign clients to this access group using only the Specific client criteria grid, or you can use this grid to update the list of clients already selected from your organizational and responsible staff criteria. Explain the grid components.

Select the clients to display in the grid from the following options:
All. Display all clients, regardless of whether they are assigned or not assigned to the client access group.
Assigned clients . Display only the clients who are assigned to the client access group.
Unassigned clients. Display only the clients who are not assigned to the client access group.
Search
Do the following to search the entire system, not just the current grid contents, for a specific client ID or client sort name:
Enter ID or sort name criteria in the Search box immediately above the grid. You can enter complete criteria to locate exact matches or partial criteria to display possible matches.
Click Search to refresh the grid with only the records that match or contain your search criteria. The Search button changes to an X button.
Note: Click the X in the Search box to return the grid to the original view.
Include
Select to include clients in the client access group. Select this box to include clients who should always be secured, regardless of their attributes.
Exclude
Select to exclude clients from the client access group, even when the client profile information meets the attribute criteria as defined for the client access group.
Meets Attributes
Displays a check mark for clients who meet the defined attribute criteria.
Assigned
Displays a check mark for clients who are secured in the client access group because the client information meets the attribute criteria or because the client was explicitly selected using the Include option.
Staff attribute columns
Displays attribute values for each client in the grid.
Select a client in the grid and click Open Client Profile to display the Client Profile window where you can edit or review the existing client information.
Refresh
Click to refresh the grid to show all clients who meet the selected attribute criteria or, if applicable, your search criteria. Any new clients who are added since opening the client access group profile display in the Specific client criteria grid. Clients who were deleted since opening the client access group profile are removed from the grid.
