Oklahoma Electronic Filing Information

Oklahoma corporate returns (hereafter referred to as "OK") may be filed electronically for the current taxable year by utilizing the Federal/State Electronic Filing Program. This program allows you to file both the federal and Oklahoma returns in one transmission. The state tax data is subsequently retrieved by the State of Oklahoma Tax Commission (hereafter referred to as the "OKTC").

Electronic Filing Mandates

Enter a "Y" on Oklahoma General worksheet, Basic Data section , Electronic filing lineto file the Oklahoma return electronically. An election can also be made on federal General, Electronic Filing worksheet, General section, File all states electronically line, or on a global basis by making an entry in the Office Manager, Configure Applications, Tax Preparation (Select Office Group), Alternative Filing Options, Corporation.

Oklahoma will accept multistate and state only returns. The Oklahoma return may be filed electronically in addition to one or more state returns being filed electronically without having to transmit the federal return. Although the federal return must still be selected and qualify for electronic filing, an entry may be made on federal General, Electronic Filing worksheet, General section, Do not transmit federal return line, indicating not to electronically transmit the federal return. if the return is disqualified from electronic filing, diagnostic message(s) will be issued informing you of the reason(s) for disqualification. If the diagnostic messages cannot be corrected (e.g. an exclusion from Oklahoma Electronic Filing) and electronic filing is still desired for the federal return, the entry for Oklahoma electronic filing must be removed.

If the return was e-filed, taxpayers can generally begin checking on their refund about four business days after the return was accepted by the Oklahoma Tax Commission. If the return was paper filed, taxpayers should wait about three weeks to begin checking on their refund. Once processed, allow 5 working days for the deposit to be made to a bank account. For debit card refunds, allow 5 to 7 working days for delivery. Visit the OTC webiste at https://www.ok.gov/tax/ and click on the “Check on a Refund” link, which will lead to our Taxpayer Access Point (OkTAP).

Creating, Releasing, and Transmitting the Oklahoma Electronic File

Single Entity Return

If the OK return qualifies for electronic filing after completing the OK calculation, create the electronic file and print Form EF by selecting File/Export/Electronic Filing/Return from the menu in Tax Preparation. The OK electronic file is created, released, and transmitted simultaneously with the federal electronic file. An OKCT-formatted file is created and Form EF prints. The Form EF must be signed by the business taxpayer,ERO, and paid preparer prior to transmission of the e-file return. This form may be retained by the preparer and business taxpayer. After exporting, the Upload Returns dialog displays. You will then have the option to Upload and hold the return or Upload and release to the taxing authority. The OK file will be transmitted to the OKTC. Therefore, no additional steps are required during this stage of processing.

Consolidated Return

Each of the separate companies and the consolidated return all have to qualify for electronic filing. At the consolidated return export by selecting File/Export/Electronic Filing/Return from the menu in Tax Preparation. The OK Consolidated file is created, released, and transmitted simultaneously with the federal electronic file. An OKCT-formatted file is created and Form EF prints. The Form EF must be signed by the business taxpayer, ERO, and paid preparer prior to transmission of the e-file return. This form may be retained by the preparer and business taxpayer. After export, the Upload Returns dialog displays. You will then have the option to Upload and hold the return or Upload and release to the taxing authority. The OK Consolidated file will be transmitted to the OKTC.

Single Entity Return inside a Consolidated Return

If you have a single entity return that is inside a consolidated return, but needs to be electronically filed outside the consolidated return, please go to that separate company return and go toFederal Common State, State and City Common Data worksheet, Consolidated/Combined Return Information section for Oklahoma, enter 'Yes' on Member of federal consolidated but not for state line. You can either electronically file the separate company return when you are inside it from Tax Preparation; or you can electronically file the separate company return when you e-file the Consolidated return. The separate company will be sent at the same time, but with a separate file.

Authoring (Release) Returns to Transmit

Once you determine the return is ready to send to the IRS, you can release the return(s) through Tax Preparation using the Upload and release to tax authority feature or release the return(s) through the Electronic Filing Status system. You must log in to the Electronic Filing Status system, and then select the return(s) you want to release. They will automatically be transmitted to CCH to be released to the taxing authorities.

OK Acknowledgment

The presence of an electronically filed state return will be indicated by the code "OK" in the state (ST) column of Electronic Filing Status system. The Electronic Filing Status system can be accessed in Tax Preparation by clicking 'manage' on the toolbar and selecting Electronic Filing Status. Once the Department of Revenue has retrieved the state tax data, an acknowledgment will be issued indicating either an acceptance or rejection.

If you are a service bureau customer, ProSystem fx Tax will notify you of these acknowledgments by mailing you a daily list of acknowledged returns. Remote entry and in-house customers may check on acknowledgments by looking at the Electronic Filing Status system. You may view this information when entering the Electronic Filing Status system in the State Data and State Status column.
