Using Share Safe

You must provide third-parties with your firm-specific URL so they can upload and download files. If you use the Share Safe tab in Client Axcess to request or send files, the email sent by Share Safe includes the URL. However, you can also manually copy the URL and paste it into emails or other documents.

When the files you requested are uploaded to Share Safe, you will receive an email alert. You then can then log in to Client Axcess and download the files or add them to the client's portal. You also can delete the files if you no longer need them.

Warning: Files uploaded to Share Safe are purged automatically thirty days after being uploaded.

There are two workflows that firm staff members can use to send files through Share Safe: one for files stored in Client Axcess, and another for sending files that are not stored in Client Axcess.

The sections below contain instructions firm users can use to request, receive, and send files through Share Safe. Instructions that can be shared with people outside the firm who use Share Safe are in the topic How Third-Parties Can Use Share Safe.

ClosedRequest a file.

  1. If needed, click or tap.
  2. Click or tap the Share Safe tab.
  3. Click or tap Request a File.
  4. Enter the recipients' email addresses and a subject for the request email.
  5. If needed, edit the body of the email. Be sure to include specifics about the file you need.

    Tip: By default, the email contains links to your Share Safe site. Do not delete these links, or the recipient will not be able to access Share Safe. If you do delete the links, click Reset to default to return the email to its default state.

  6. Select the check box for Send me a copy of this email if you would like to receive a copy of the email at the email address associated with your portal account.
  7. Click or tap Send.

ClosedReceive a file.

Files submitted to the firm via Share Safe display in a list on the Share Safe tab. By default, firm users only see the files submitted to them. However, you can change the list filter to view all files sent to the firm or all files within five days of expiring. You can download submitted files, move them to the client's portal, or delete them.

  1. If needed, click or tap.
  2. Click or tap the Share Safe tab.
  3. In the Requested Files list, select the check boxes for the files you want to process.

    Note: If needed, click the filter button and select a filter to narrow the list.

  4. Do one of the following as needed:
    • Click Download to download the selected files to your device.
    • Click Move to add the file to the client's portal.
    • Click Delete to remove the file from Share Safe.

ClosedSend a file that is stored in Client Axcess.

  1. Open the portal.
  2. Select the Files tab, if it is not already selected.
  3. Select the check boxes for the files you want to send.
  4. Select the More Actions button () and then click Send with Share Safe.
  5. Enter the email address and subject for the request email.
  6. If needed, edit the body of the email.

    Tip: By default, the email contains links to your Share Safe site. Do not delete these, or the recipients will not be able to access Share Safe. If you do accidentally delete the links, click or tap Reset to return the email to its default state.

  7. Click or tap Next.
  8. If needed, you can drag additional files from your device, or you can click or tap Browse to select more files to include.
  9. Once you have added all the needed files, click or tap Next.
  10. Select file access key options.
  11. Click or tap Send.

ClosedSend a file that exists outside of Client Axcess.

  1. If needed, click or tap.
  2. Click or tap the Share Safe tab.
  3. Click or tap Send a File.
  4. Enter the email address and subject for the request email.
  5. If needed, edit the body of the email.

    Tip: By default, the email contains links to your Share Safe site. Do not delete these, or the recipients will not be able to access Share Safe. If you do accidentally delete the links, click or tap Reset to return the email to its default state.

  6. Click or tap Next.
  7. Select the files to send. You can drag files from your device, or you can click or tap Browse to select the files to include.
  8. Once you have added all the needed files, click or tap Next.
  9. Select file access key options.
  10. Select any of the other options as needed.
  11. Click or tap Send.

ClosedCopy the URL to send to third parties.

  1. If needed, click or tap.
  2. Click or tap the Share Safe tab. Your firm's URL is listed in the text box at the top of the page.
  3. Click or tap the copy icon () next to the URL. The URL is copied to your clipboard so you can paste it into an email or other document as needed.

    Note: If you use Microsoft® Internet Explorer® and have difficulty copying the URL, check the browser's clipboard settings. The Allow Programmatic clipboard access option must be set to Enable or Prompt before you can copy the URL. See the Internet Explorer Help for specific instructions for locating this setting. If you use a different browser and experience difficulties copying the URL, check your browser settings.
